Foundation and case management essentials
Unified case management with 4 Avenues (Prospect, Prelitigation, Litigation, DNQ), each containing Workflows with customizable Stages and Steps. Journeys track clients through linear progression while Services provide parallel add-on capabilities.
Full client lifecycle tracking from initial intake through case resolution. Includes stage history, automatic timestamps, assigned attorney tracking, and comprehensive client information management with contact details and incident data.
Visual drag-and-drop interface displaying all stages as columns with journey cards. Features real-time updates, stage filtering, quick-action menus, and color-coded status indicators for efficient case pipeline management.
Passwordless authentication via email magic links. Users click a secure link to instantly authenticate without remembering passwords. Includes expiration handling, rate limiting, and secure token generation.
Traditional email/password login with secure bcrypt hashing, password strength requirements, and forgot password flow via email reset links. Provides alternative to magic link for users who prefer passwords.
Granular permissions system with roles: Super Admin (platform-wide), Firm Admin, Attorney, Paralegal, Intake Specialist, Manager, and Contractor. Each role has specific access levels and menu visibility.
Complete firm isolation with organization-scoped data access. Each law firm operates independently with their own users, journeys, documents, and settings. Supports multiple users per organization with invitation system.
Automatic stage progression when all required steps are completed. Modal prompts user to confirm advancement to next stage with clear stage name display. Integrates with step completion service for seamless workflow progression.
Organization-specific step customizations now appear in journey workflows. Custom steps created via admin UI are displayed in journey checklists with full completion tracking, progress calculations, and auto-advancement integration.
Comprehensive contact management with 12 contact categories (Client Related, Witness, Attorney, Medical Provider, Insurance, Lien Holder, Expert Witness, Court/Legal Entity, Employer, Funding Company, Investigator, Defendant). Features CRUD API, advanced search, category filtering, organization-scoped data isolation, and activity logging.
Database-level tenant isolation, enforced in production across 137 tables under a dedicated database role since June 2026. Every query is additionally organization-scoped at the application layer as defense-in-depth, so firm data stays separated by two independent mechanisms.
Track all user actions and data changes
Calculate medical expenses, lost wages, pain & suffering with multiplier-based calculations. Includes lien manager, medical bills summary, and settlement breakdown charts.
Document management and medical record handling
Full document lifecycle management with file upload (drag-drop and click), categorization by type (pleadings, discovery, correspondence), version tracking, and secure cloud storage. Documents linked to journeys with quick preview and download capabilities.
Specialized medical record tracking per journey with provider information, treatment dates, record types (bills, notes, imaging), and status tracking (requested, received, reviewed). Supports medical expense totaling for settlement calculations.
Automated medical timeline built from uploaded records: encounter segmentation, chronological entries with vitals and medications, provider and bill extraction, AI summaries, and page-targeted re-scan of low-confidence pages. Records upload direct to cloud storage and process in the background.
Self-hosted OCR on dedicated GPU hardware with an automatic cloud fallback. Every scanned page carries a real confidence score derived from the model itself, and pages that look unreliable are flagged for re-scan instead of silently degrading the chronology.
DocuSeal-powered e-signing end to end: firms upload their own contracts and drag signature fields in an embedded builder, configure an onboarding pack, and send it with intake. Clients sign on a firm-branded portal and every signature gets a completion certificate on the journey timeline. New firms also e-sign the HoLaCe Master Service Agreement during onboarding.
The full signing pipeline hardened after live beta testing: signature events flow reliably from the e-sign provider, completing all documents notifies the assigned attorney and paralegal and creates the intro-call task, signature fields anchor to the document instead of fixed coordinates, and a reconciliation tool recovers any historical signatures that were recorded by the signing provider but missed by the platform.
Artificial intelligence powered capabilities
RAG-powered conversational assistant with full case context awareness. Uses OpenAI GPT-4 with vector similarity search to retrieve relevant knowledge base documents. Maintains conversation history, understands legal terminology, and provides contextual answers about cases and firm procedures.
PostgreSQL pgvector-powered semantic search system. Documents are chunked, embedded using OpenAI embeddings, and stored with vector indexes. Admin interface for managing KB documents with categories, tags, and visibility controls. Automatic relevance scoring for retrieval.
Automatic detection and logging when AI cannot find relevant KB content. Tracks unanswered queries with user context, suggested topics, and resolution status. Admin dashboard to review gaps and prioritize KB expansion.
Full AI document engine for demand letters: per-section drafting grounded in case data with case-type playbooks (car accident, dog bite, trucking, premises, wrongful death, habitability), firm-template-driven sections with letterhead and signature applied at export, computed damages and exposure models the AI transcribes but never invents, policy-limits demand mode when limits are not on file, parallel section drafting for sub-minute full drafts, and an approval workflow with per-section editing.
Auto-generate case summaries and briefs
AI extraction of structured findings from scanned medical records: dated encounter entries, vitals, medications, providers, and billed amounts, all feeding the chronology and settlement math. Includes a data-preservation guard so a failed re-extraction can never wipe good data.
AI-powered settlement value predictions
Investigation and third-party service management
Dedicated contractor dashboard with login, assigned jobs list, job details view, and status updates. Contractors see only their assignments with relevant case information and can submit findings/reports.
Request field investigations with location details, scope of work, priority levels, and due dates. Staff can track request status from submission through completion with full audit trail.
Multi-step approval process: Initial review, Quality check, Final approval. Reviewers can approve, request revisions, or reject with comments. Status tracking at each stage.
Browse available services by category (investigation, medical records retrieval, expert witness). Each service shows description, pricing, typical turnaround, and required information.
Assign jobs to specific contractors with internal notes, deadline tracking, and priority flags. View contractor availability and workload before assignment.
Stripe integration for contractor payments
Third-party service connections
Bug reports automatically create GitHub issues via API. Includes screenshot attachments, user context, browser info, and error details. Issues tagged with priority and component labels.
Transactional emails via Resend API including magic link auth, password reset, invitation emails, case updates, and deadline reminders. HTML templates with firm branding support.
Full Stripe integration with subscription plans, usage-based billing, customer portal, invoicing, and payment method management. Webhook handling for payment events.
Import wizard that firms and admins run themselves: upload CSV exports, files are recognized automatically (Clio and MyCase formats, verified against real firm exports), every column is reviewable with drop-down mapping before anything imports, unrecognized files can be mapped by hand, re-running an import never creates duplicates, and platform admins can run an import on a firm's behalf. Contacts, matters, relationships, and notes come across with categories intact.
Closing the remaining gaps between what practice-management exports contain and what imports: matters landing in their correct pipeline stage, statute-of-limitations and incident dates on the record, expenses into the expense tab, and bills feeding the medical chronology.
Use Clio's nightly full-data export (confirmed syncing daily) as a standing import and reporting source, so a firm's HoLaCe data can stay current through migration instead of depending on one-time manual exports.
Bring the proven Lawmatics migration pipeline (stage translation, hired-client routing, lead-source creation, cross-source dedup against Clio) into the self-serve import wizard. The operator-run version already migrated a full firm pipeline in July 2026.

Case metrics and performance reports. Platform-level analytics and the Firm Operations report (per-firm journey, investigation, demand, and status rollups with CSV export) are live for administrators, and admin metrics now measure real journey activity end to end. Firm-facing analytics are next.
Admin billing panel with print-ready invoices per firm (letterhead, line items, totals, one-click mark-as-invoiced), pending-charge rollups, and audited "view as owner" support access to any firm's experience.
The reporting layer that lets firms leave their spreadsheets: reproduce the weekly docket review and the fees, expenses, and demands reports inside HoLaCe, with client-information export. Built against the pilot firm's real working documents so reports match how the firm actually operates.
Firms define their own red/yellow attention rules in plain language — which conditions on a matter should light up the dashboard — replacing one-size-fits-all widgets with each firm's definition of "needs eyes."
Revenue tracking, fee collection, expense management, and profit analysis
Individual attorney performance, workload distribution, productivity metrics

A walkable 3D world where every plant is one of your real matters: species is the case type, growth is actual progress, and a thirsty plant has gone quiet too long. Settled matters stand in a golden Grove, closed matters rest in the Quiet Archive, and a guide keeps a quest log of what needs attention. Advance a matter in HoLaCe and the world responds. Nothing in it is invented — it is your docket, drawn as a place.
